Administrative Assistant/Office Manager 

 

We are seeking to add a new team member to provide exceptional administrative support to the partners and professional staff. We need an outstanding person. A problem solver with strong organizational skills and a positive, can-do attitude. The ideal candidate will have a proven track record of high caliber client service and the willingness and desire to take ownership of an important set of firm responsibilities. 

Duties & Responsibilities

  • Serve as the first point of contact for all clients when they call or visit the office, always making clients feel welcome and well supported at every point of contact 
  • Manage all office operations including answering the phone, preparing and mailing office correspondence, maintaining office equipment and ordering office supplies and kitchen items 
  • Coordinate all meeting logistics including scheduling and confirming client meetings, organizing internal/vendor meetings and assisting with meeting preparation as needed 
  • Maintain client information, including scanning and filing, ensuring all electronic and paper files are complete, orderly and kept secure 
  • Assist with all aspects of client reporting and communications, including quarterly investment reviews, performance reports, email blasts and holiday cards 
  • Provide support to Chief Compliance Officer to perform monthly, quarterly and annual compliance tasks 
  • Coordinate IT support with outsourced IT vendor 
  • Maintain Client Relationship Management (CRM) system 
  • Organize and maintain documentation of firm finances and coordinate with firm accountant 
  • Assist with client and employee onboarding and offboarding tasks 
  • Plan quarterly team events, birthdays, holiday dinner, etc. 
  • Provide support on special projects including CRM database, website, marketing and client events 

 Skills & Qualifications Required

  • 2+ years of work experience, wealth management industry preferred, college degree 
  • Personable, responsive, engaging and a client first attitude 
  • Mature, self-starter, willing to take complete ownership of areas of responsibility 
  • Highly organized with keen ability to prioritize and manage lots of different things 
  • Ability to work independently and take direction from multiple parties simultaneously 
  • Excellent verbal and written communication skills 
  • Good problem-solving skills and attention to detail 
  • Strong computer skills including advanced proficiency with Word and Excel 
  • Experience with CRM (Redtail) software is highly desirable
